Preventive task

Preventive tasks are only available for devices in Machine maintenance. A task template is required to create a preventive task.
Machine task templates

If a preventive task is selected from the Machine Maintenance menu, the detailed view of the preventive task opens. The detailed view of the preventive task contains the tabs, the task details and the footer.

  • Preventive Task — Instructions Tab

    Appraisal of the preventive task and the work sequence

  • Preventive Task — Attachments Tab

    Management of attached pictures, videos and documents relating to the preventive task

  • Preventive Task — Spare Parts Tab

    The Spare Parts tab is only available for devices.

    Order spare parts for the preventive task.

  • Preventive Task — Work History Tab

    Display of all work done on the preventive task

Indicates whether the device must be turned off for the preventive task.

Prioritization of the preventive task:

Time by which the preventive task must be completed and resolved

Estimated duration

Indicates how long processing of the preventive task is estimated to take.

Earliest start date

Earliest time at which the preventive task can be started

Latest start

Time at which the preventive task should be started at the latest

Resolving Group

Resolving group assigned to the preventive task

Responsible

User assigned to the preventive task

Only users of the selected resolving group are displayed in the Responsible field.

Created on

Time at which the preventive task was created

Maintenance type

Type of task

Preventive maintenance

Task that must be performed regularly, such as maintenance or replacement of wearing parts

Created by

User who created the preventive task

Telephone number of the creator

Telephone number of the user who created the preventive task

Last update

Time at which the preventive task was last modified

Status

Status of the preventive task

New

The preventive task has been newly created and has not yet been processed.

Started

The preventive task is being processed.

Resolved

The preventive task has been resolved and completed.

Current start

Time at which the preventive task was started

Current duration

Total working time of all work done on the preventive task

Add work done to a corrective or preventive task.

Task template on which the preventive task is based

Footer

Element/icon Description

Save

Save the entered descriptions and changes to the preventive task.

Cancel

Cancel the entered descriptions and changes to the preventive task.

Set In Progress/Resolve

If the status of the preventive task is New , change the status of the preventive task to Started.

If the status of the preventive task is Started , change the status of the preventive task to Resolved.

Change the status of a corrective or preventive task.

Report Working Time

Add work done to a corrective or preventive task.

Preventive Task — Instructions Tab

If a preventive task is selected in the Maintenance > Machine maintenance tab, the detailed view of the preventive task opens. The appraisal of the preventive task and the work for the preventive task are displayed in the detailed view in the Instructions tab. To be able to resolve the preventive task, all mandatory fields must be filled in and the required checkboxes activated.

The Instructions tab is divided into the following areas:

The fields Header, Description Field and Instruction Field may appear more than once.

If a description field or an instruction field is selected, it opens.

Header

Structures the work steps.

Description field

A description field is a text field in which you can enter the work performed. If a description field is marked as a mandatory field, a description must be entered to resolve the task.

Instruction field

The work performed can be confirmed with a checkbox in an instruction field. If an instruction field is marked as a mandatory field, the checkbox must be activated to resolve the task.

Each description field or command field contains the following elements:

Gallery/Files tabs

Files (images, videos and documents) can be added to a work step.

Gallery tab

Display of attached images in the form of a gallery. The order of the images in the Files tab from top to bottom determines the order of the images in the gallery.

Files tab

Files (images, videos, and documents) that describe the error on which the error is mapped or that show the solution to the error. The files can be edited for all descriptions in the Attachments tab of the detailed task view.

Back/Next Step

The Back and Next step buttons can be used to toggle between the rows.

Preventive Task — Attachments Tab

If a preventive task is selected in the Maintenance > Machine Maintenance tab, the detailed view of the preventive task opens. All attached files for the preventive task are displayed in the detailed view in the Attachments tab. The attachments are divided into the individual rows of the preventive task.

The Attachments tab of a preventive task does not differ from the Attachments tab of a corrective task.

Create preventive task

Prerequisites

  • A task template is created for the device.

    Task templates for machines

  • User or Administrator role

Procedure

  1. Call up the Maintenance > Machine maintenance menu.

    Machine Maintenance

  2. Create preventive task with add_border.

  3. Select Add preventive task in the dialog window.

  4. Select the device using the Facilities field.

    Or:

    Scan QR code.

  5. Select Task Template.

  6. Enter name.

  7. Enter the Description.

  8. Select Resolving group and Priority.

  9. Enter the Telephone number for the responsible person.

  10. Select Earliest start date.

    Preventive task

  11. Select Due date.

  12. Enter Estimated Duration.

  13. Select Required downtime.

  14. To add attachments:

    Use image::ROOT:137704.png[Symbol_Plus] Add Attachments to upload a file.

    Or:

    Drag and drop the file into the appropriate field.

  15. Create preventive task with Add.

The preventive task is displayed in the Maintenance > Machine maintenance menu.

  • To edit the task details for the preventive task, continue with Configure task details for a preventive task.

  • To appraise the preventive task, continue with Appraise preventive task.

  • To add performed work to the preventive task, continue with Add work done to a corrective or preventive task.

  • To change the status of the preventive task, continue with Change the status of a corrective or preventive task.

Configure task details for a preventive task

Prerequisite

User or Administrator role

Procedure

  1. Call up the Maintenance > Machine maintenance menu.

  2. Select a preventive task.

  3. Enter name and description.

  4. Select Priority.

  5. Select Required downtime.

  6. Select Due date.

  7. Enter Estimated Duration.

  8. Select Resolving Groups.

  9. Select the user in the Responsible field.

  10. Confirm details with Save.

The task details of the preventive task are configured.

  • To complete the preventive task, continue with Appraise preventive task.

  • To add work performed to a preventive task, continue with Add work done to a corrective or preventive task.

  • To change the status of the preventive task, continue with Change the status of a corrective or preventive task.

Appraise preventive task

The work on the preventive task is described in detail in the Instructions tab. If the work cannot be carried out, the steps taken must be logged. The preventive task is then assigned to a user who can resolve the work.

Assign a corrective or preventive task to a user

Prerequisites

  • User or Administrator role

  • The preventive task must be in the Started status.
    Change the status of a corrective or preventive task

Procedure

  1. Call up the Maintenance > Machine maintenance menu.

  2. Select a preventive task.

  3. In the detailed view, call up the Instructions tab.

    The Back and Next step buttons can be used to toggle between the work steps.

  4. Evaluate the preventive task.

  5. Localize work on the device on site.

  6. Work through the work steps.

    If a work step is a mandatory field, the work performed must be entered in the input field or the checkbox activated.

  7. To add files to a work step:

    • Select the work step.

    • Call up the Files tab.

    • Use add_black Add attachment to upload a file.

      Or:

      Drag and drop the file into the field.

      Images are displayed in the Gallery tab of the work step.

  8. Confirm details with Save.

The preventive task has been appraised.

  • To report additional work performed for a preventive task, continue with Add work done to a corrective or preventive task.

  • If the preventive task could not be resolved and the preventive task has to be assigned to another user, continue with Assign a corrective or preventive task to a user.

  • To change the status of the preventive task, continue with Change the status of a corrective or preventive task.
